AI search systems have a strong preference for fresh copy. Not slightly recent — measurably, significantly recent. Pages updated with fresh copy within the last three months are nearly three times more likely to be cited in AI-generated answers than pages that haven’t been touched in nine months or more.
For galleries, that’s a problem with a specific shape.
Inventory moves constantly. New works arrive, artists are added, shows open and close. The gallery is active. But the website — from the perspective of an AI system scanning for structured, dateable, current content — often isn’t. A new work gets added to the inventory. A price gets updated. A JPEG gets uploaded. None of that registers as fresh copy. There’s no date signal, no structure, no text that expands what AI systems know about the gallery or the artist. The site looks exactly the same to a language model as it did three months ago.
The gallery is throwing away freshness signals it’s generating every week — because fresh copy is the signal, and fresh copy is exactly what isn’t being written.
The system we built
Several years ago, working inside one of the UK’s leading online galleries, I built an automated workflow to solve a different but related problem: how do you publish consistent, engaging descriptions of new works across multiple channels without the team writing each one from scratch?
The workflow was straightforward. A new work entered the gallery’s inventory system. That trigger fired an automated process that pulled the relevant data — artist, title, medium, dimensions, period, any available provenance — and generated a short, structured description. That description then posted out to social channels automatically, formatted for each platform.
The volume this enabled was significant. Hundreds of works, consistent output, no manual writing overhead.
At the time, the goal was social presence and engagement. The thinking around AI search visibility wasn’t yet a factor — this was before that question had any commercial urgency for galleries. But the architecture was exactly right for it.
What that workflow looks like now
The same automation, extended, now produces something more valuable than a social post.
Each new work can generate a short blog entry. Not a press release. Not a product listing. A brief, structured piece of content: artist name and context, a description of the work, relevant period or movement, what makes this particular piece significant within the artist’s practice. Three hundred words, properly headed, published with a date.
That entry carries schema markup automatically — BlogPosting schema with publication date, author reference, subject tags tied to the artist and medium. The date is explicit and machine-readable. The structure is clean. The content adds something an AI system doesn’t already have: a specific, current, gallery-authored statement about a specific work by a specific artist.
Published consistently, across an inventory that turns regularly, this compounds. The gallery’s domain accumulates dated, structured, original content. AI systems scanning for authoritative, current sources on an artist find recent, well-organised pages. The gallery’s Artist Authority — its recognisability as the credible source on the artists it represents — builds with every acquisition rather than sitting static between exhibition seasons.
Why this matters more than it might appear
The freshness effect isn’t evenly distributed across query types. It’s strongest on commercial queries — the kind where someone (or an AI agent acting on someone’s behalf) is asking which gallery represents an artist, or where a particular work can be found, or what a gallery’s current inventory looks like. These are exactly the queries that matter for galleries.
A gallery with a static site and a quietly updated inventory is not competing for those answers. A gallery that turns each acquisition into a piece of dated, structured content is.
The automation already exists. Most galleries are just not using it for this.
